Template Customization

Overview

Template Customization allows you to personalize PDF Design Templates with your company’s visual identity while maintaining the template’s professional structure. Customization happens through the Company Branding and Offer Texts settings, which apply globally to all templates.

Key Principle: Templates provide the design framework, while your branding settings inject your unique identity (logo, colors, text).

How Templates Use Branding

Template Color Integration

Each template handles brand color differently:

Template How Brand Color Is Used Template Base Colors
Default Minimal use – accent lines only Neutral grays and blacks
Modern Blue Blends with template’s blue gradient Blue spectrum (#3b82f6 – #2563eb)
Business Used for section headers and emphasis Corporate navy and gray
Elegant Subtle accents, refined integration Deep purple and gold
Creative Bold use in gradients and backgrounds Vibrant purple gradient
Minimal Single accent color throughout Maximum white space
Professional Used in structured headers Authoritative dark blues

Important: Brand color complements template design, doesn’t replace it. Templates maintain their core color scheme while incorporating your brand color as accent.

Logo Integration

Logo placement and sizing:

Template Logo Position Logo Size Background
Default Top left corner Standard (auto-scaled) White
Modern Blue Centered in header Larger, prominent Blue gradient (use dark logo)
Business Left side, aligned with company name Professional sizing Corporate gray
Elegant Centered, refined spacing Elegant proportions Subtle background
Creative Dynamic positioning Bold, eye-catching Vibrant gradient (use dark logo)
Minimal Small, top left Minimal footprint Pure white
Professional Formal header placement Authoritative sizing Dark professional

Logo Variant Logic:

  • Templates with dark backgrounds → Use dark logo variant (if uploaded)
  • Templates with light backgrounds → Use light logo variant (or default)
  • If only one logo uploaded → Used for all templates (auto-adjusted)

Offer Texts Settings

Location: Quotes → Offer Texts

Purpose: Customize section titles, labels, and default text across all offers.

Customizable Text Elements

Text Type Default Value What You Can Change Example Customization

“Project Estimate”
Price Section “Price Overview” Title for pricing table “Cost Breakdown”
“Investment Summary”
“Pricing Details”
Payment Terms “Payment Terms” Payment section title “Payment Schedule”
“Payment Conditions”
“Billing Terms”
Delivery Time “Delivery Time” Delivery section title “Lead Time”
“Project Timeline”
“Completion Date”
Warranty “Warranty” Warranty section title “Guarantee”
“Quality Assurance”
“Warranty Coverage”
Notes “Notes” Additional terms title “Additional Information”
“Terms & Conditions”
“Important Notes”
Image Gallery “Image Gallery” Gallery section title “Product Photos”
“Project Gallery”
“Visual Examples”
Technical Section Title “Technical Description” Main heading for tech sections “Specifications”

How It Works:

  1. Change text in Settings → Offer Texts

  3. All new offers use new text
  4. Existing offers keep their original text (not retroactive)
  5. Templates display your custom text automatically

Template-Specific Customization

Some templates offer additional styling options through CSS:

Template Additional Customization How to Customize
Default Basic – no template-specific options Use branding settings only
Modern Blue Gradient intensity adjusts based on brand color Choose brand color – template auto-adapts
Business Header style adapts to brand formality Conservative colors recommended
Elegant Accent borders use brand color Choose refined colors (deep tones work best)
Creative Backgrounds blend with brand color Bold colors recommended for full effect
Minimal Single accent color throughout Choose one strong color – used sparingly
Professional Structured elements use brand color Professional colors (blues, grays) recommended

Best Practices for Customization

Logo Guidelines

DO:

  • ✅ Use transparent PNG for versatility
  • ✅ Upload high-resolution version (2x size for retina displays)
  • ✅ Keep logo horizontal format (fits better in headers)
  • ✅ Upload both light and dark versions if possible
  • ✅ Test logo on all templates before finalizing

DON’T:

  • ❌ Use JPEG with white background (looks bad on dark templates)
  • ❌ Upload extremely wide logos (distorts proportions)
  • ❌ Use low-resolution logos (pixelated in PDF)
  • ❌ Forget to test on dark-background templates

Brand Color Guidelines

Choosing Brand Color:

Industry Recommended Colors Why
Legal, Finance Dark blue (#1e3a8a), Navy (#1e40af) Trust, authority, professionalism
Healthcare Teal (#14b8a6), Medical blue (#0ea5e9) Clean, caring, reliable
Creative, Design Purple (#a855f7), Vibrant orange (#f97316) Innovation, creativity, energy
Construction Orange (#ea580c), Industrial gray (#6b7280) Action, building, strength
Technology Bright blue (#3b82f6), Cyan (#06b6d4) Innovation, digital, modern
Food, Hospitality Warm red (#dc2626), Green (#10b981) Appetite, freshness, welcoming

Color Testing:

  1. Set brand color in Company Data
  2. Preview with multiple templates
  3. Check contrast (text readability)
  4. Test in PDF export (colors may shift slightly)
  5. Verify on different screens (desktop, mobile, tablet)

Text Customization Guidelines

DO:

  • ✅ Use industry-standard terminology (clients understand it)
  • ✅ Keep titles short and clear (max 2-3 words)
  • ✅ Maintain professional tone across all text
  • ✅ Be consistent with terminology (don’t mix “Price” and “Cost”)
  • ✅ Consider multilingual versions if serving international clients

DON’T:

  • ❌ Use overly complex jargon (confuses clients)
  • ❌ Make titles too long (breaks template layout)
  • ❌ Use casual language in formal industries
  • ❌ Change text too frequently (consistency matters)

Customization Workflow

Initial Setup (One-Time):

  1. Configure Company Branding
    • Go to: Quotes → Company Data
    • Upload logo (light + dark variants)
    • Set primary brand color
    • Enter company name and tagline
    • Save settings
  2. Configure Offer Texts
    • Go to: Quotes → Offer Texts
    • Customize section titles for your industry
    • Set default content if needed
    • Save settings
  3. Test with All Templates
    • Create test offer
    • Try each template (Default, Modern Blue, Business, etc.)
    • Check logo visibility on dark backgrounds
    • Verify brand color integration
    • Export PDF from each template
    • Choose favorite 2-3 templates for regular use
  4. Document Your Choices
    • Note which templates work best for your brand
    • Save examples of customized offers
    • Share with team (if applicable)

Per-Offer Workflow:

  1. Create new offer
  2. Select appropriate PDF template (based on client type)
  3. Fill in offer content
  4. Branding applies automatically (logo, colors, text)
  5. Preview and adjust if needed
  6. Export PDF – fully branded

Time: ~30 seconds (branding is automatic)

Limitations & Considerations

Limitation Details Workaround
Global branding only Cannot have different logos for different offers Use single company logo across all offers
One brand color Cannot set multiple accent colors Choose primary brand color – templates add complementary colors
Text changes not retroactive Changing Offer Texts doesn’t update existing offers Set texts correctly before creating many offers
Limited font control Cannot change template fonts Choose template with typography matching your brand style
No per-template branding Same logo/color applies to all templates Ensure logo works on light and dark backgrounds
Logo size auto-scaled Cannot manually adjust logo size per template Upload logo at optimal dimensions (~300px wide)
