When You Receive Notifications

Trigger events:

  1. ✅ Client accepts offer → Immediate email
  2. 👁️ First view (Premium only) → Optional email
  3. 📊 Daily/Weekly summary (Premium, future feature) → Digest email

Acceptance Notification Email

Sent automatically when:

  • Client clicks “Accept Offer” button on public link page
  • Acceptance form submitted successfully
  • Database updated with acceptance data

Email recipient:

  • Primary: Notification Email (set in Company Data settings)
  • Fallback: WordPress admin email (if notification email empty)

Email content:

Subject: [Your Company] Offer Accepted: OF/251126-01

Good news! Your offer has been accepted.

Offer Details:
- Offer No: OF/251126-01
- Title: Staircase Project for John Smith

Accepted by:
- Name: John Smith
- Date: 2025-11-26 14:30:05
- Location: New York, USA
- IP: 192.168.1.100

Client Comment:
"Looks great! When can you start?"

View offers list:

Email includes:

  • Offer number and title
  • Client name (from acceptance form)
  • Acceptance date/time
  • Client location (city, country)
  • Client IP address
  • Optional client comment (if provided)
  • Direct link to admin offers list

Configuring Notification Email

Go to: Quotes → Company Data

Field: “Notification Email”

  • Label: “Email address for client acceptance notifications”
  • Placeholder: Shows WordPress admin email
  • If empty: Uses WordPress admin email automatically
  • Example: sales@yourcompany.com

Best practices:

  • Use shared team email (sales@, quotes@)
  • Set up email forwarding rules
  • Add to CRM system via email integration
  • Check spam folder if notifications not arriving

Email Deliverability

Factors affecting delivery:

  1. WordPress email configuration
    • Uses wp_mail() function
    • Depends on server SMTP settings
    • May go to spam without proper SPF/DKIM
  2. Recommended plugins for better delivery:
    • WP Mail SMTP – Configure SMTP (Gmail, SendGrid, etc.)
    • Post SMTP – Professional email sending
    • Mailgun – Transactional email service
  3. Testing notifications:
    • Create test offer
    • Generate public link
    • Open in incognito/private browser
    • Accept offer with test data
    • Check email inbox (and spam folder)
